Station Planner / Operations Administrator
Location: Gatwick Airport
Department: Ground Handling
Reports To: Station Manager
Salary: £37,000 per annum 

Role Overview
We are seeking a highly organised and proactive Station Planner / Operations Administrator to support the day-to-day running of a busy airport ground handling operation at Gatwick Airport.
This role is responsible for supporting operational teams through effective roster planning, resource coordination, administration, attendance monitoring, and operational support activities. The successful candidate will play a key role in ensuring the operation remains compliant, efficient, and fully resourced to meet customer and airline requirements. The role will suit an individual who thrives in a fast-paced operational environment, has strong attention to detail, and can build effective working relationships across multiple departments.

Key Responsibilities
Operational Planning & Rostering
  • Support the production and maintenance of operational rosters in line with demand, SLAs, and Working Time Directive requirements
  • Assist with short-term and long-term manpower planning
  • Monitor daily staffing levels and escalate any shortages or risks
  • Support shift amendments, overtime allocation, annual leave planning, and sickness coverage
  • Maintain accurate staffing and skills matrices

Administrative Support
  • Provide administrative support across operational departments including Ramp, Passenger Services, and Bag Hall
  • Maintain employee records, trackers, and operational documentation
  • Support payroll preparation through accurate recording of hours, absences, overtime, and amendments
  • Prepare reports, presentations, and operational summaries as required
  • Assist with uniform ordering, stock control, and consumable management

Attendance & HR Support
  • Monitor attendance trends and support managers with absence management processes
  • Prepare documentation for investigations, return-to-work meetings, and disciplinary hearings
  • Support note-taking during formal meetings where required
  • Track training validity and support compliance reporting

Operational Coordination
  • Support operational teams during disruption and peak periods
  • Assist with pre-allocation and deployment planning
  • Liaise with operational supervisors and managers to ensure staffing aligns with operational requirements
  • Maintain strong communication with internal departments and external stakeholders

Skills & Experience
Essential
  • Previous experience in an operational planning, administration, or rostering role
  • Strong organisational and time management skills
  • Excellent attention to detail and accuracy
  • Strong Microsoft Office skills, particularly Excel
  • Ability to work in a fast-paced operational environment
  • Strong communication and interpersonal skills
  • Ability to handle sensitive and confidential information professionally

Desirable
  • Previous aviation or ground handling experience
  • Experience using workforce management or rostering systems such as Kronos, Springshot, INFORM, or similar
  • Understanding of Working Time Directive regulations
  • Experience supporting HR or attendance management processes
  • Valid UK manual Driving Licence

Working Pattern
  • Monday – Friday, 0800-1700
  • 40 hours per week contract 
  • Permanent role 
  • Flexibility required, including weekends and public holidays where operationally required
